Export a Microsoft Dynamics document as CSV file

In this tutorial, we'll show you how to export contacts from Microsoft Dynamics 365 CRM, but only those with a phone number. We'll then create a CSV file containing two columns: Contact Name and Phone Number.

Prerequisites

  • Access to Microsoft Dynamics 365 CRM
  • Access to Microsoft Excel or another spreadsheet application

Step 1: Access Microsoft Dynamics 365 CRM

  1. Log in to your Microsoft Dynamics 365 CRM account.
  2. Navigate to the 'Sales' module and click on 'Contacts.'

Step 2: Apply a Filter for Contacts with Phone Numbers

  1. In the 'Contacts' view, click on the filter icon next to the 'Phone' column.
  2. Select 'Custom Filter' and choose 'Does Not Contain Data' from the list of options.
  3. Click 'Apply' to filter out contacts without phone numbers.

Step 3: Export Contacts to Excel

  1. With the filtered list of contacts displayed, click on the ellipsis (three dots) icon in the toolbar.
  2. Choose 'Export to Excel' from the dropdown menu.
  3. In the 'Export Data to Excel' window, select 'Static Worksheet' as the format, then click 'Export.'
  4. Save the exported file to your computer.

Step 4: Prepare the CSV File with Contact Name and Phone Number Columns

  1. Open the exported Excel file in Microsoft Excel or another spreadsheet application.
  2. Delete all columns except the 'Full Name' and 'Phone' columns.
  3. Rename the 'Full Name' column to 'Contact Name.'
  4. Save the file as a CSV by clicking 'File,' then 'Save As,' and selecting 'CSV (Comma delimited)' as the file format.

You have now successfully exported contacts with phone numbers from Microsoft Dynamics 365 CRM as a two-column CSV file containing the contact names and phone numbers. This file can be used for various purposes, such as importing the contacts into another CRM or using them for marketing campaigns.
